S&G Lean Group Pty Ltd trading as Social Q Studio and Social Q Bride ("we," "us," "our") is committed to protecting your privacy. This policy explains how we collect, use, store, disclose and protect your personal information, and how you can access, correct or complain about it.

We follow the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). You can read the APPs at the Office of the Australian Information Commissioner (OAIC) website: www.oaic.gov.au.

1. What personal information we collect

Personal information is information or an opinion about an identifiable individual. Depending on how you deal with us, we may collect:

Contact and identity details - name, email, phone number, business name, address.

Booking and billing details - services requested, event dates, and payment-related information (note: card payments are processed by our payment providers; we do not store full card numbers).

Photographs and video - images and footage of identifiable people captured during content shoots, weddings and events (see Section 6).

Enquiry and lead information - details you submit through our website, social media, or advertising lead forms.

Information we handle for our clients - where we run advertising or manage content for a client, we may handle personal information about that client's own customers and leads (see Section 5).

Website and device data - cookies, IP address, pages visited and similar analytics data (see Section 4).

2. How we collect it

We collect personal information directly from you (by phone, email, our website, enquiry and booking forms, and in person at shoots and events) and, where relevant, from third parties such as our clients, advertising and lead-generation platforms, referrals, and publicly available sources. Where we receive your information from a third party, we take reasonable steps to make sure you are made aware of it.

3. Why we collect and use it

We use personal information to:

provide our services - content creation, social media management, paid advertising, and wedding/event content;

manage bookings, quotes, invoicing and payments;

communicate with you and respond to enquiries;

create, edit and deliver content;

run and optimise advertising campaigns;

promote our own business (including showcasing our work - see Section 6); and

meet our legal and record-keeping obligations.

We may also use your information for related secondary purposes you would reasonably expect. You can opt out of our marketing at any time (see Section 9).

4. Cookies, website analytics and advertising tracking

Our website and the campaigns we run use cookies and tracking technologies, which may include tools such as the Meta (Facebook/Instagram) Pixel and Google Analytics and Google Ads tags. These help us understand website traffic, measure advertising performance, and show relevant ads. This may involve sharing limited data with those platforms, who handle it under their own privacy policies. You can control cookies through your browser settings.

5. Advertising, lead generation and CRM tools

As a marketing agency, we run paid advertising and manage leads on behalf of our clients. In doing so we use third-party advertising and customer-management (CRM) platforms - to capture, store, segment and follow up enquiries and leads.

Where we handle personal information about a client's customers or leads, we do so on that client's behalf and in line with our agreement with them. That information is used only to deliver the client's services and is not sold. Individuals with questions about a specific business's data should also contact that business directly.

6. Photography, video and use of your image

Through Social Q Studio and Social Q Bride we capture photos and video that may include identifiable people - including clients, participants, and guests at weddings and events.

We use this content to deliver the booked service, and we may also use selected content to promote our business - for example on our website, portfolio, and social media.

For weddings and events, the booking couple/client is responsible for making their guests aware that content will be captured. We include a consent clause in our booking agreement to cover this.

If you appear in our content and do not want your image used in our marketing, you can ask us to remove or stop using it by contacting us (see Section 12). We will take reasonable steps to honour reasonable requests.

7. Artificial intelligence (AI) and third-party tools

We use software and AI-assisted tools to create, edit, enhance and analyse content, and to plan and optimise advertising. This means some information - which may include images, video, copy and campaign data - is processed by third-party and AI tools to deliver our services. We take reasonable steps to use reputable providers. We do not use these tools to make automated decisions that have legal or similarly significant effects on you.

8. Who we disclose it to, and overseas storage

We may disclose personal information to:

Our contractors and suppliers - such as editors, second shooters and other content creators who help deliver your service (they are required to protect your information);

Platforms and tools we use - such as advertising, CRM, scheduling, design, cloud storage, and payment providers;

anyone you have consented to; and

where required or authorised by law.

Some of these providers store or process data outside Australia (for example in the United States and other countries). By providing your information, you acknowledge it may be handled overseas, where privacy laws may differ from Australia's. We take reasonable steps to use providers that protect your information appropriately.

9. Direct marketing and opt-out

We may send you marketing about our services. You can opt out at any time by using the unsubscribe link in our emails or by contacting us at stephen@socialqstudio.com. We will not use sensitive information for marketing without your consent.

10. Sensitive information

Sensitive information (such as health, racial or ethnic origin, or religious beliefs) is only collected with your consent or where required or authorised by law, and used only for the purpose for which it was collected or a directly related purpose.

11. Security, retention and quality

We store personal information (including digital content) in a way that reasonably protects it from misuse, loss, and unauthorised access, using measures such as access controls and reputable cloud storage. We keep client files for a minimum of 7 years where required, and retain photographic/video content for 12 months after delivery unless otherwise agreed. When information is no longer needed, we take reasonable steps to destroy or de-identify it. Please let us know if your details change so we can keep them accurate.

12. Accessing or correcting your information

You can ask to access or correct the personal information we hold about you by contacting us in writing. We may need to verify your identity first. We do not charge to make a request but may charge a reasonable administrative fee to provide copies.

13. Complaints and enquiries

If you have a question or complaint about your privacy, please contact us first (see below) and we will respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

14. Changes to this policy

We may update this policy from time to time. The current version is always available on our website, with the "last updated" date shown above.
